Terms and Conditions

ExSolar Solar Solutions Terms and Conditions

1. Online Bookings & Payment Policy
  • Online bookings qualify for a 10% discount on the first hour labour rate.
  • Materials (e.g., solar panels, inverters, wiring, fuses etc) are not included in the quoted price and, if required, will incur additional costs.
  • Labour exceeding one (1) hour will be charged as required.
  • Travel outside of Somerset West is charged separately.
  • All prices exclude VAT.
2. Additional Labour & Materials
Where work exceeds one hour, if an email quotation is required prior to conducting/continuing with the repairs, please advise.
Customer approval and payment are required before any additional work proceeds.
3. Payment Terms
  • Payment for online bookings is due immediately upon booking, following receipt of a Pro Forma invoice via email.
  • Additional costs must be settled promptly to avoid delays in service.
  • Accepted payment methods: EFT, Credit Card, or Cash.
  • All transactions are strictly on a Cash-on-Delivery (COD) basis. ExSolar Solar Solutions does not offer 30-day or any other credit payment accounts.
  • For all product sales, full payment must be received and reflect in our bank account before any collection or delivery can occur.
  • For installation services, a 70% deposit is required before work commences, with the balance due upon completion.
  • Should payment be made by cash deposit into our account, a 2.5% handling fee will apply.
  • All prices exclude VAT.
4. Cancellations & Rescheduling
A minimum of 12 hours’ notice is required for cancellations or rescheduling.
Refunds or rescheduled appointments are subject to this notice period and must be requested via email.
5. Customer Responsibilities
Customers must provide accurate information at the time of booking, including site details and energy requirements.
Customers must ensure clear and safe access to the worksite for installation or maintenance.
6. Warranty & Liability
  • Workmanship is guaranteed for:
  • 1 year on solar panel installations and related components.
  • 90 days on electrical repairs and maintenance.
  • Guarantees apply only to fully paid work and cover only work performed by ExSolar Solar Solutions.
We accept no liability for:
  • Pre-existing issues such as faulty wiring or structural defects.
  • Damage to underground cables, irrigation systems, gardens, plaster, paint, walls, or similar structures.
  • Delays or scope changes arising from unforeseen complications.
7. Victron Bluetooth Credential Support Initiative
For Victron Energy products in the new sustainable packaging purchased from 27 August 2025 onwards, ExSolar Solar Solutions will securely store a record of the Bluetooth login information, including the PUK code, to assist clients in the event of lost credentials.
To access these credentials, our team will need to open the product packaging at the time of processing the order. This process will not affect the condition or warranty of the product.
Clients who do not wish for ExSolar to store this information must notify us in writing at [email protected]. By opting out, the client acknowledges and agrees that ExSolar Solar Solutions cannot be held liable for any losses, damages, or costs arising from the loss of these credentials and any subsequent inability to access the system’s monitoring and control features.
If no written opt-out is received, ExSolar will assume consent to store this information for support purposes.
8. Returns & Exchanges Policy

We want you to be fully satisfied with your purchase.
  • Return Timeframe: Our return policy is valid for 14 days from the date of purchase. Unfortunately, we are unable to accept returns after this period.
  • Proof of Purchase: Items cannot be returned or exchanged without an original TAX invoice or TAX point of sale receipt (quotes or Pro Forma Invoices are not accepted). A R250 ex VAT admin fee will be charged if valid proof of purchase is not provided.
  • Condition of Items: All returned items must be in their original, unused condition, including all packaging, accessories, and documentation. A 15% restocking fee will apply to all returns.
  • Collection Acknowledgement: Upon collection of any item, the customer is required to inspect the goods and sign confirming that the item/s are received in good physical order, free from any visible damage, scratches, dents, or cracks. No claims for such physical damage will be accepted after collection has been signed for.
  • Non-Returnable Items: Please note that we do not accept returns on cut cables, special order items, or custom-built items.
  • Excluded Damage: Physical damage (including but not limited to scratches, dents, cracks, or marking of any kind) and any damage caused during transportation or handling by the customer or any third party is not covered under warranty or return policy.
  • Warranty Terms: All repairs and returns are covered under a carry-in warranty. Please note that any damage occurring during transport is not covered under warranty.
  • Warranty Evaluation Fee: A non-refundable evaluation fee is payable for all warranty claims before testing begins. The fee is R550.00 ex VAT for standard components and R950.00 ex VAT for complex items (e.g., inverters, charge controllers). This fee will be waived only if the product is found to have a valid manufacturer's defect.
  • Shipping Costs: All return-related shipping costs are the responsibility of the buyer.
  • Inspection Process: All returned items will undergo testing by our technicians before an exchange or refund is processed. Inspections cannot be done while you wait and may take a few business days to complete.
  • Warranty Claims: Warranty claims will be evaluated based on the manufacturer's specifications, whose decision is final. Please allow sufficient time for warranty claims to be processed with suppliers.
  • Payment & Refunds: We do not accept American Express or Diners Club cards. Should payment be made by cash deposit into our account, a 2.5% handling fee will apply. Refunds will be processed using the original payment method and may take 7-10 business days to reflect.
9. Privacy
Customer data is processed in accordance with our Privacy Policy.
Personal information will not be shared without explicit consent.
10. Force Majeure
We are not liable for delays or failures caused by events beyond our control, including (but not limited to):
Extreme weather
Accidents
Supply chain disruptions
Additional costs may apply in such cases.
